Administrative Manager

SUMMARY:

This role focuses on maintaining a cohesive branch operation by managing accurate company financial information. The primary responsibility of the position is to manage, coordinate, and execute the company's monthly invoicing program across all business lines. The incumbent must also support all business lines to include Document Storage, EDM, Destruction, Data Storage, and Release of Information services. This role requires a person with excellent communication, organization, and problem solving skills with a focus on progressive development of the company.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage company's monthly billing to ensure that all revenue is properly captured, invoiced, and reported.
  • Responsible for New Account Setups in company operations and accounting software utilizing workflows and CRM.
  • Manage the company payables workflow program ensuring that all invoices for vendors are processed and accounted for.
  • Ensure 100% accuracy in account rates actual to sold.
  • Report monthly financials to Corporate Accounting; maintain proper alignment of revenue to division, credits and debits for service adjustments, ROI revenue reporting, and vendor transfer credit/storage credits.
  • Accountable for company Precision Plus program; reporting on daily flow of storage items in, out, and through the facility.
  • Drive margin by controlling costs through review of reports on O'Neil, Visual Vault, and eAccess.
  • Must be Human Resources liaison to Corporate Human Resources in collection, distribution, management of local personnel and benefits files.
  • Work with Collections Associate to ensure the proper allocation of payments to accounts and invoices.
  • Setup, maintain, and troubleshoot company monitor system for timely and accurate delivery of daily production reports and triggers.
  • Responsible for the upkeep and maintenance for company print management and administration equipment.
  • Establish and maintain a healthy working environment with other departments within the local and national organization.
  • Be primary conduit for maintaining company office supplies and equipment.
  • Create, manage, and setup company events; both for customers and employees.
  • Serve as liaison to General Manager, Operations Manager, and other Managers to maintain employee reviews and evaluations.
  • Additional duties/responsibilities to be assigned.

 

JOB REQUIEMENTS: 

  • 4 year college degree preferred, high school diploma required. 
  • Relative experience; 3-5 years. 
  • Exceptional skills in MS Office 
  • Previous Billing system experience required. 
  • Previous experience with Accounting software a plus
